This position provides clerical and administrative support to the Office Manager, supervisors, and staff at the Youngstown Service Centre, ensuring efficient day-to-day operations—particularly during peak seasonal periods. The role includes front-line customer service, processing permits and bookings, managing inventory and data entry in internal systems, and handling receipting and invoicing functions. It also supports operational activities by tracking road materials, preparing project updates, managing agreements, maintaining accurate records and spreadsheets, and providing backup for timesheet entry.

We are seeking a professional, reliable, and detail-oriented individual with strong integrity, technical aptitude, and the ability to handle sensitive and confidential information with discretion. This full-time position plays a key role in maintaining accurate reporting and a strong safety culture, while offering stable employment and opportunities for training, professional development, and growth within the organization.

What You’ll Do
  • Materials Management: handle pricing, coding and tracking of road surfacing materials.
  • Financial Administration: prepare and manage invoices, perform inventory management entry using internal software.
  • Administrative Duties: Pipeline crossing agreements, road project updates, issuing gravel permits, fencing & grass requisitions, preparing materials for board meetings.
  • General Office Duties: provide backup support to time entry desk, collection of various incoming documents and proper internal distribution.
What You’ll Need
  • Grade 12 Diploma or GED equivalent; post-secondary education in Office Administration or a related field is preferred. Combined with Minimum of one (1) year of administration or office experience.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook); knowledge of SharePoint and OneDrive is an asset.
  • Excellent written and verbal communication skills, with strong public relations abilities.
  • Highly organized, with attention to detail, accuracy, and the ability to take initiative.
  • Ability to communicate effectively with courtesy, tact, and discretion, and to exercise good judgment in all interactions.

  • Annual Salary Range $56,473 – $67,655 depending upon relevant certifications, education, skills and experience
